Subject: Third-Party Digital Agency Access to Retail Portals

Effective Monday, June 3, 2019, Oxford will disable access from third-party digital agencies to the tenant portal on shopping centre specific websites.

Oxford has re-evaluated the process and policy of granting permission to third-party digital agencies, who currently provide marketing assets (such as promotions and events), to communicate directly with shopping centre marketing teams on behalf of retail tenants. This communication includes access to tenant portals for posting, gathering website analytics, and email and phone requests for information.

Allowing third-party digital agencies permission to communicate and access to portals increases risk and liability to our digital platforms and an unnecessary demand on shopping centre marketing team resources. In addition, Oxford will no longer provide analytics to these agencies as this information is to be directly exchanged between the tenant and the shopping centre marketing team as per your lease agreement with Oxford. Shopping centre marketing teams are equipped to support our tenants with this service as it is part of your brand’s contribution to the promotion fund.

Shopping centre marketing portals and communication is restricted to tenant marketing teams only and third-party digital agencies will be denied access from these portals as of the effective date above – the login to these portals must contain a tenant-/corporate-specific email address. Site marketing teams will be reviewing accounts for change of email addresses and will offer portal training if requested.

Tenants who do not currently use a third-party digital agency, please continue to submit your retail postings as you currently do; for tenants who have been utilizing a third-party digital agency, please now submit your retail postings directly to Minla Sadasiwan, Marketing Coordinator, at msadasiwan@oxfordproperties.com for promotion on the shopping centre website.

Please be advised, while we continue to improve efficiencies in services, we welcome HQLC as our new partner for Grease Trap Cleaning Services to our Elevate Food Fare Tenants.

HQLC will be on-site on Thursday, May 30 to introduce themselves and will be organizing future dates of service around Hours of Operation.

HQLC next service will remain in line with the June 2 Grease Trap Cleaning as scheduled with our previous partner.
